Your club’s data. Clear responsibilities.

The club determines how its member data is used and assigns roles and access. Kinovo processes club data for the agreed service. Access should reflect a person’s responsibilities, rather than giving everyone administrator permissions.

The club portal is hosted by Hetzner in Germany and uses HTTPS. Additional providers support individual features, including file storage, email and optional AI functionality. Some services may process data outside the EU. The privacy notice describes the providers and data flows.

Discuss the data processing agreement, retention arrangements, technical measures and information for parents with us before importing member records. Supporting documentation is being developed with clubs; ask for its current version.

Exports are available for supported administration areas. Agree which records you need, applicable retention periods and deletion arrangements, including backups, as part of your club’s agreement.

Kinovo includes restrictions on adult-child communication and parent visibility for permitted conversations. These product safeguards support responsible club practice; they do not replace the club’s safeguarding responsibilities.
